Why Is It Called “Offboarding” and Not “Un-enrollment”?

“Enrollment” is the process of bringing identities into COmanage. We don’t recommend removing identities from COmanage (except if they were added in error), which would be the opposite of enrollment. Instead, we use the term “Offboarding” to describe processes associated with removing people from your organization.

Enrollment (the process of adding someone to COmanage) implies onboarding (the process of adding someone to your organization), but offboarding (the process of removing someone from your organization) does not imply un-enrollment (the process of removing someone from COmanage).

… Later here, it implies that Offboarding doesn’t apply to a whole CO Person, but could apply to just a particular privileged that the CO Person enjoys, for example, email access, access to wikis, etc. This point should be clarified here.

When to offboard - the Expiration Policies

There are six common patterns for offboarding based on the mode (friendly or unfriendly) and the control (involuntary or voluntary). Each type is processed as an Policy, a specific process.

Expiration Policy Steps

  1. Prior to Valid-Through date, notifications for renewal sent to administrators and/or individual.
  2. Valid-Through date is reached. (This can apply both to limited term and open ended appointments (eg: in the event of a layoff). For the latter, the valid-through date is simply set once known.)
  3. Exit Approval.
  4. CO Person Role Status becomes “Expired, Grace Period”.
  5. Deprovisioning occurs according to grace periods.
  6. CO Person Role Status becomes “Expired”.

Termination Policy Steps

  1. CO Person Role Status becomes “Terminated”.
  2. Deprovisioning occurs.
  3. Exit Approval.

Resignation Policy Steps

  1. Exit Approval.
  2. CO Person Role Status becomes “Resigned, Grace Period”.
  3. Deprovisioning occurs according to grace periods.
  4. CO Person Role Status becomes “Resigned”.

Retirement Policy Steps

  1. Exit Approval.
  2. CO Person Role Status becomes “Retired, Grace Period”.
  3. Deprovisioning occurs according to grace periods.
  4. CO Person Role Status becomes “Retired”. Some privileges may remain.

Leave of Absence Policy Steps

  1. Leave Dates set.
  2. Deprovisioning occurs.
  3. Return date reached.
  4. Re-provisioning occurs.

Desertion Policy Steps

Treated as either Termination or Resignation, at the discretion of the administrator.
