4. Using up an Enrollment Workflow

Try enrolling

  1. Get the URL that someone would use to self enroll.
  • In the menu on the left, select People > Enroll to display the active Enrollment Flows
  • Right click on the BEGIN button, and select, “Copy Link Address” to get the enrollment link.
  1. Enroll in an incognito / private window
  • Close any open browser windows that are currently in incognito / private mode, and open a fresh one.
  • Paste the copied URL into the address bar to start the workflow.
  • At the sign in screen, select a user from your list that is not yet enrolled in your CO⚙ī¸ and sign in as that person. You will see messages that indicate that several steps of the Enrollment Workflow🚀 are executing.
  • When the Enrollment form appears notice that a) the Enrollment Attributes that you specified in the workflow are displayed in the Order that you specified, b) default values are set as specified, often pulling them from the Source, c) the labels displayed are the labels that you selected, d) the group membership that you selected as Optional can be changed by the Enrollee. Note: these values can be changed while you are in the middle of the process if you are signed in as an Administrator in one window and the Enrollee in another.
  • Click the SUBMIT button when you are ready.

  1. Confirm your email in Mailinator
  • You will see a message that the Petition has been created, and to check your email for more information. Sign into mailinator as this user to see the Email Confirmation Notification.

  • Click on the link in the email to see the Accept/Deny screen. Click the Accept button to advance the workflow. You will see a notification that the Petition has been confirmed.

  1. Approve the Enrollee
  • Return to the window where you are signed in as an Administrator to review your Petitions. From the menu on the left, select People > CO Petitions to see the list of them.

  • Click the View button for the Petition that you just created. In the Status field you will see that the Petition is Pending Approval and you are provided withe the option to Approve or Deny the Petition. On the right side you are also presented with information about where you are in the Enrollment Workflow🚀. Click on the Approve button to complete the workflow and Enroll the person. COmanage will display the processing of the last few steps, and will change the status of the Petition to Finalized

  1. View COmanage as a newly Self-Enrolled Member
  • Go back to your incognito / private browser window and sign out and back in again as the same user. You can now view the items that this person can access including CO Groups⚙ī¸ and CO Services⚙ī¸, if applicable.

Discussion

There are several other pieces that make up an Enrollment Workflow🚀 that we did not discuss in this example. We will use your questions and use cases to explore some of the fields that we did not review and to possibly set up additional workflows.
